Position:  Property Management Assistant
Location:   Burlingame (1705 Murchison Drive, Burlingame, CA 94010)
 
Duties and Responsibilities:
  • Prepares Mortgage and lease schedules, market analyses, and cost comparability reports, including recommendations concerning cost benefit and investment potential to CTA for owned and leased properties.
  • Analyzes space utilization and makes recommendations regarding the same.
  • Participates in site searches for new rental or owned properties and site inspections for repairs and renovations.
  • Audits maintenance vendor contracts.
  • Prepares recurring payment schedules and processes routine invoices.
  • Prepares and analyzes reconciliation for property related accounts.
  • Reviews, resolves and responds to Property Management problems and inquiries.
  • Drafts lease agreements and reviews new leases.
  • Maintains lease summary tracking schedules.
  • Assists in the development and maintenance of property including but not limited to procedures and timelines.
  • Attends and participates in homeowner association Board activities.
  • Assists in the development and maintenance of document management.
  • Supports the Business Division as needed.
  • Assists in general property review and maintenance.
  • Assists with construction plans and implementation.
  • Continues to update the knowledge of building system operations and codes.
  • Performs minor maintenance and property related projects as needed.
  • Performs other appropriate duties as assigned.

Qualifications:

  • BA or BS Degree. 
    Or, AA Degree and two (2) years of relevant experience.
    Or, five (5) years of relevant experience.
  • Demonstrated ability to exercise sound judgment, self-initiative, and to organize work in a systematic and effective manner with little supervision.
  • Ability to work effectively under pressure, in emergency situations and to adapt to changes in priorities.
  • Ability to creatively solve facility problems.
  • Knowledge of building system operations and codes.
  • Knowledge of CAD software.
  • Effective meeting, dealing, negotiating and writing skills.
  • Good command of oral and written English.
  • Demonstrated ability to exercise planning, coordinating, and follow through skills as applied to statewide property management.
  • Proficiency in the use of computer technology and the ability to learn and use the Association's software programs.
  • Valid California Driver License.
  • Ability to travel as needed.
  • Ability to work overtime as needed.
 
* This position is in a bargaining unit represented by CAS.  Salaries are established by a collective bargaining agreement.  Step placement is also determined by the CTA/CAS Agreement.
